Quotation guide
How to request a quotation
What to include in your request, how to send it, and what happens next. Written for institutions, organisations and businesses in Kenya.
The short answer
Send the items you need, the quantities, your delivery location and your timeline through the contact form, by email to info@cloakedinnovations.co.ke, or by phone on 0796 968 241. We review your requirements, confirm availability and respond with a quotation.
What to include
The more detail you give us in the first message, the faster and more accurate our quotation will be.
Essential
- The items you need. Product names or types, for example disposable gloves, syringes or blood pressure machines.
- The quantity of each item. Include the unit if you can, such as boxes, packs or pieces.
- Your delivery location in Kenya. Town or county and, if relevant, the institution or site.
- When you need them. A date or a rough timeline, and whether the order is one off or recurring.
Helpful
- Sizes, specifications, preferred brands or standards, if you have them.
- Your organisation name and the best contact person and number.
- A tender, requisition or reference number, if the request is part of one.
- A budget range, if you want us to work within one.
- Any documents your institution requires with a quotation, so we can confirm what we can provide.
How to send your request
- Contact form: use the enquiry form and describe your requirements in the message box.
- Email: write to info@cloakedinnovations.co.ke. You can attach a product list, specification sheet or the relevant pages of a tender document.
- Phone: call 0796 968 241, Monday to Friday 8:00 am to 5:00 pm or Saturday 9:00 am to 2:00 pm. Sunday is by request.
For anything about an existing enquiry, you can also write to support@cloakedinnovations.co.ke.
What happens next
We review
We read your requirements and check what we need to confirm, such as availability and specifications.
We confirm
If something is unclear or an item is not listed on our website, we contact you to clarify before quoting.
You receive a quotation
We send a quotation for your organisation to review. Prices depend on the products, quantities and delivery needs.
An example request
This is only an illustration of a clear request:
We are a clinic in Kisumu. Please quote for 20 boxes of disposable gloves (medium), 10 boxes of face masks and 2 digital blood pressure machines. We need delivery to our clinic by the end of next month. We expect to reorder the gloves and masks every quarter.
Tips for institutions and procurement teams
- Put your full list in one request, so we can quote it together.
- Say whether you want one quotation for everything or separate quotations for each category.
- Tell us early if you need a quotation in a particular format, or alongside particular documents.
- If you buy regularly, mention it. We can work with recurring requirements.
Frequently asked questions
What information should I include in a quotation request?
At a minimum, include the items you need, the quantity of each, your delivery location and when you need them. Specifications, preferred brands, your organisation name and any tender or reference number help us respond accurately.
How long does a quotation take?
It depends on the number and type of items and on availability, so we cannot give one time for every request. Sending complete details in your first message helps us respond faster.
Can I ask for a product that is not listed on your website?
Yes. The products on our website are examples, not a complete list. Send us what you need and we will confirm availability.
Does a quotation commit me to buying?
No. A quotation is our offer based on the information you gave us. A supply agreement exists only when both sides have confirmed it in writing.
